WeddingFlow PH ("WeddingFlow PH," "we," "us," or "our") is a wedding invitation and event-management service operated from the Philippines. This Privacy Policy explains what personal data we collect, why we collect it, how it's used, who we share it with, and the choices and rights you have — whether you're a couple using WeddingFlow PH to build your wedding invitation ("Account Holder"), or a guest invited to someone's wedding through our platform ("Guest").

01 Information We Collect

From Account Holders (Couples)

When you register for a plan and set up your invitation, we collect:

  • Account details — your full name, email address, and a password (stored in encrypted/hashed form — we never see or store your plain-text password).
  • Wedding details — couple names, wedding date, venue and schedule information, photos and videos you upload, your chosen design and content.
  • Payment information — when you pay via PayPal or card, your payment details are collected and processed directly by PayPal, not stored on our servers. We only retain a record that a payment was made (amount, plan, date, and reference/transaction ID) to activate and manage your account.
  • Communications — messages you send us via email, Messenger, or during a scheduled call.
From Guests

When a couple invites you to their wedding through WeddingFlow PH, we may collect (as entered by you or the couple):

  • Your name and RSVP status (attending / not attending).
  • Meal or dietary preferences, plus-one / companion details, and any custom questions the couple has added to their RSVP form.
  • Photos and videos you voluntarily upload to the couple's shared photo wall ("Guest Snaps").
  • A unique guest access code used to view and interact with the invitation — this is not a public account and does not require you to create a password.
Automatically Collected
  • Basic technical data such as browser type, device type, and general usage patterns, collected via cookies and analytics/advertising tools described in Section 5.

02 How We Use Your Information

We use the information we collect to:

  • Create and manage your WeddingFlow PH account and invitation website.
  • Process payments and activate, renew, or extend your plan.
  • Deliver the core features of the service — RSVP management, guest check-in, the shared photo wall, gift registry, page builder, and related tools.
  • Send transactional emails: payment confirmations, your invitation link, expiry/renewal reminders, and support responses.
  • Respond to inquiries sent via email, Messenger, or scheduled calls.
  • Improve and maintain the reliability, security, and performance of the service.
  • Run and measure advertising campaigns (e.g. understanding which ads led visitors to register) — see Section 5.
  • Comply with legal obligations and enforce our Terms of Service.

We do not sell your personal data, or your guests' personal data, to third parties.

03 A Special Note About Guest Data

When you (as a couple) invite guests through WeddingFlow PH, you are the one entering, uploading, or importing your guests' names and contact details into the platform. In this relationship, you are responsible for having the appropriate basis to share your guests' information with us — for example, that you have their permission to add them to your guest list and invite them to interact with your invitation.

WeddingFlow PH acts as the platform that stores and displays this information on your behalf, at your instruction, so you and your guests can use the RSVP, check-in, and photo-sharing features. If a guest wants their data removed, they may contact us directly at contact@weddingflowph.com, or ask the couple who invited them to remove it from their guest list.

💡 Tip for couples: when you invite your guests, let them know their name, RSVP response, and any photos they upload will appear on a shared page accessible to other invited guests.

04 Who We Share Data With

We only share personal data with the following categories of third parties, and only as needed to run the service:

We may also disclose information if required by law, to protect the rights and safety of WeddingFlow PH, our users, or the public, or in connection with a business transfer (e.g. if WeddingFlow PH is acquired or merges with another entity) — in which case we'll notify affected users beforehand where practical.

05 Cookies & Tracking Technologies

We use a small number of cookies and tracking scripts:

  • Essential session cookies — used to keep you logged in to your admin panel or guest session. These are required for the app to function and are not used for advertising.
  • Meta (Facebook) Pixel — helps us understand and measure the performance of our Facebook/Instagram ads.
  • TikTok Pixel — helps us understand and measure the performance of our TikTok ads.
  • Google Ads tag (gtag.js) — helps us understand and measure the performance of our Google ad campaigns.

These advertising tools may place cookies in your browser and use information about pages you visit (such as our pricing or registration page) to measure ad performance and, in some cases, show you relevant ads elsewhere. You can control or disable these cookies through your browser settings, or opt out of interest-based advertising via each provider's own tools (e.g. Meta's Ad Preferences, Google's Ads Settings, and TikTok's Privacy Policy).

06 Data Retention & Deletion

Your invitation and its data (photos, guest list, RSVP responses, wedding details) remain active for the validity period of your plan (1 or 2 years from the date of payment, per your chosen plan). When your plan expires:

  1. Your invitation goes offline and is no longer accessible to guests.
  2. We email you a reminder about the 30-day grace period.
  3. You may log in during this window to download a full copy of your data (photos as a ZIP file, guest list as a CSV file, and your wedding details).
  4. If the plan is not renewed within 30 days of expiry, all associated data — photos, videos, guest information, and wedding details — is permanently and irreversibly deleted from our servers.

Account-level information (your name, email, and payment records) may be retained for a reasonable period afterward for accounting, fraud-prevention, and legal-compliance purposes, even after your invitation data has been deleted.

07 How We Protect Your Data

We take reasonable technical and organizational measures to protect your data, including password hashing/encryption, restricted access controls, and file-type/size validation on all uploads. However, no method of storage or transmission over the internet is 100% secure, and we cannot guarantee absolute security. If we become aware of a data breach affecting your personal information, we will notify you and, where required, the National Privacy Commission, in accordance with Philippine law.

08 Your Rights

Under the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and similar data protection laws that may apply to you, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or outdated data.
  • Request deletion of your data, subject to our legitimate need to retain certain records (e.g. payment history) as described in Section 6.
  • Object to or restrict certain processing, including opting out of marketing/advertising cookies.
  • Data portability — request an export of your data in a common format (see Section 6 for our built-in download tool).
  • Lodge a complaint with the National Privacy Commission (privacy.gov.ph) if you believe your data has been mishandled.

09 Children's Privacy

WeddingFlow PH is intended for use by adults planning or attending a wedding. We do not knowingly collect personal data from children under 18. If you believe a child has provided us with personal data, please contact us at contact@weddingflowph.com and we will remove it.

10 International Users

WeddingFlow PH is operated from the Philippines and is available to couples and guests anywhere in the world, including Filipinos living abroad. By using our service, you understand that your information will be processed and stored on servers located in, or accessible from, the Philippines, and that Philippine law governs how we handle your data, as described in this Policy.

11 Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. If we make material changes, we will update the "Last updated" date above and, where appropriate, notify active account holders by email. Continued use of WeddingFlow PH after changes take effect means you accept the updated Policy.
